Privacy Policy

Paws in Motion Ltd will collect personal information through our website, social media, telephone calls, email, referral forms and third parties as required to enable us to treat your dog. We are compliant with GDPR and will ensure your data is kept safe and only for the purposes intended as detailed below.


This privacy policy will be updated as and when required. Policy last updated 18/12/2022.



The type of personal information we collect


We currently collect and process the following information:


  • Owner’s personal details including name, address, telephone number & email address.
  • Pet’s details including name, sex, colour, breed, age, date of vaccination, pet insurance details, veterinary surgery contact details, and any other information required to enable us to treat your pet.


In some cases, we will collect data about you and your pet from third parties such as medical history from your vets or specialist referral centre, or from any other practitioners treating your pet.



How we get the personal information and why we have it


Most of the personal information we process is provided to us directly by you through our contact form and/or referral form from our website, by contacting us through social media, emails, telephone calls and during the assessment and hydrotherapy sessions. This information is needed to enable us to contact you and treat your pet.


We may also use this information to periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided.


We may require additional data from your veterinary surgery or referral centre, or from any other members of the MDT to enable us to treat your pet accordingly which may include medical history.


We are required to keep notes of all sessions and these notes may also be shared with third parties such as your pet’s veterinary surgeon, other members of the MDT team or our regulatory body to ensure we treat your pet effectively. Any issues found during the hydrotherapy session may also need to be reported to your veterinary surgery or member of the MDT team for the safety of your pet.


Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are we have a legal obligation to ensure we can treat your pet as referrals are required by our regulatory body and consent where personal information is used for promotional emails, special offers or any other information.



How we store your personal information


Your information is stored securely in manual files which are kept locked and in our company computer software. Backups of data are also taken. Your name and telephone number may also be stored in the team’s mobile phone which is protected by a pin code.


Your data will be stored for 6 years following your pet’s treatment to comply with HMRC. Following this time your data will be deleted from our software and manual files will be shredded. Contact details will be removed from the team’s mobile phone 12 months following the end of your pet’s treatment.



Your data protection rights


Under data protection law, you have rights including:


Your right of access - You have the right to ask us for copies of your personal information. 


Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 


Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 


Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 


Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.


Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.


You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
